How to Manage Crew Appraisals
Complete guidance on the performance appraisal process involving crew members, heads of department, captains, and company representatives.
Overview
The Performance Appraisal process involves four key stakeholders:
Crew Member
Initiates the appraisal and completes self-assessment
Head of Department
Provides departmental performance evaluation
Captain
Reviews and gives final vessel-level assessment
Company Representative
(Client Manager or DPA) Reviews and closes the process

Detailed Instructions
1. Crew Member Responsibilities
Initiation Process:
- • Navigate to the Employment page in the Crew section
- • Click "More" to access your Performance Appraisals folder
- • Select "New Form" to create a new appraisal
Form Completion:
- • Verify your name, position, and start date (auto-generated)
- • If necessary, manually adjust your position start date
- • Select appropriate Head of Department and Captain from dropdown menus
- • Enter last performance appraisal date or select "N/A" if not applicable
Self-Assessment:
- • Rate your performance according to provided criteria using dropdown menus
- • Document observations, comments, career goals and training objectives in the comments section
- • If attaching supporting documents:
- - Select "Yes" next to "Additional Document Attached?"
- - Browse for the file
- - Name the file appropriately
- - Click "Upload"
Submission:
- • To complete: Click "Sign and Complete Now"
- • System will automatically enter your name and date
- • To save for later: Click "Save and Complete Later"
- • Once signed, the form becomes available to your selected HOD and Captain
2. Head of Department Responsibilities
Accessing Appraisals:
- • HODs can only access forms where crew members have selected them
- • Navigate to the Performance Appraisal folder in the Crew section
- • Forms requiring your review will be available
Completing Evaluations:
- • Complete all HOD sections of the form
- • Provide objective performance ratings
- • Add constructive feedback in comment sections
- • For supporting documentation:
- - Select "Yes" next to "Additional Document Attached?"
- - Browse, name, and upload relevant files
- - Select "No" if no attachments needed
Submission:
- • To complete: Click "Sign and Complete Now"
- • To save for later: Click "Save and Complete Later"
- • PDF printing option available for appraisal meetings
3. Captain Responsibilities
Accessing Appraisals:
- • Forms become available after crew member and HOD completion
- • Access through the Performance Appraisal folder in the Crew section
Captain's Evaluation:
- • Complete the Captain's column with performance ratings
- • Provide feedback in comment sections
- • Document recommendations for crew development
Submission:
- • To complete: Click "Sign and Complete Now"
- • To save for later: Click "Save and Complete Later"
- • PDF printing option available for appraisal meetings
4. Final Review
- • After Captain approval, forms are forwarded to the Client Manager
- • Client Manager/DPA will:
- - Review all sections
- - Add final comments
- - Complete the approval process
- • The completed appraisal becomes part of the crew member's permanent record
Important Notes
- • All appraisals should be completed in a timely manner
- • Face-to-face discussions are recommended at each stage when possible
- • Objective and constructive feedback is essential
